COACHING TERMS

Effective 2026-10-03

These Coaching terms apply to coach listings and bookings on Siege Codex, operated by Whitt Atlas LLC. They add to the Terms of Use and the Privacy Policy. Students accept them before booking a coach; coaches accept them before anyone can book them.

1. Who these terms cover

These terms apply to coaching listings and bookings on Siege Codex, operated by Whitt Atlas LLC. Coaches and students must be 18 or older and legally able to enter the arrangement. Use your own account and accurate account information. The account date of birth is used for booking eligibility; it is not a background check.

These terms add to the Terms of Use and Privacy Policy. For coaching, this platform baseline controls over a conflicting coach policy. A coach may offer more generous terms. Mandatory consumer rights always apply, even if a booking or policy says otherwise.

2. Independent coaches and the platform

Coaches are independent players offering their own services to students. They are not employees, agents or partners of Siege Codex or Whitt Atlas LLC and cannot make commitments for us. The coaching arrangement is between the student and coach. The coach is responsible for delivering it; Siege Codex supplies listing, scheduling, booking-record and reporting tools.

We do not train, supervise or certify coaches or verify their claimed rank, experience, results, team history or students coached. Listing checks and moderation do not amount to vetting coaching ability. A listing, rating, badge or directory position is not an endorsement or a promise of quality, availability, safety or results.

3. What you are booking

Before booking, the coach must accurately state what is included: the session format, length, total price and currency, any mandatory charges or tax, deposit and payment deadlines, cancellation policy and any equipment, platform or preparation requirements. Check the displayed date and time zone. The coach must explain how to join and provide the agreed service.

Ranks, credentials, achievements, reviews and examples must be truthful and current. Coaches must not invent qualifications, imply Ubisoft or Siege Codex certification, hide charges, or promise a rank increase, match wins, a team place or other guaranteed outcome. Instruction and practice do not guarantee improvement.

Keep the booking record and any written agreement. The price, package and policy saved when you book govern that booking. A later listing edit cannot raise its price or reduce its promised service or refund rights. A change of time, scope or coach requires agreement; a student does not have to accept a replacement session instead of a refund they are owed.

4. Direct payments and booking records

Coaching payments are made directly to the coach using an offered payment method. Siege Codex does not receive, hold, transfer or insure these funds and does not issue or guarantee direct-payment refunds. A Full Access subscription does not pay for a separate coaching session. A payment link is not escrow or proof that a provider protects the purchase.

Verify the recipient and amount before paying. Use a provider-authorized business or goods-and-services transaction where required, never a personal friends-and-family transfer to disguise a purchase or avoid fees. The provider controls its fees, eligibility, dispute process and protection; protection is not guaranteed. Coaches must use accounts permitted to receive payment for their services.

The student must meet the disclosed payment deadline; an unpaid deposit hold can expire. Payment and refund labels are records entered by participants or staff, not bank verification. Do not mark money received or refunded unless that is true. If you paid but the hold expired or the record is wrong, keep your receipt and contact the coach and support before paying again. A record error does not erase an actual payment or refund obligation.

5. Student cancellations and deposits

Read the coach policy before booking and cancel through the booking controls before the session starts. If a control is unavailable, send the coach a written cancellation and contact support; keep evidence of when you tried. Rescheduling requires agreement and is not automatically confirmed by a message or request.

For a student cancellation before the start, payments for that booking are refundable except a disclosed deposit may be kept when you cancel inside the explicit free-cancellation window saved with the booking. If no such window was set, that deposit exception does not apply. Cancellation at or before the stated cutoff is within the free window. The exception applies while only a deposit is recorded as received, not after the full session price is recorded as paid. A forfeitable deposit cannot exceed the amount actually paid as that deposit; a larger payment does not become a deposit after booking. More generous promises and mandatory rights still apply.

After the session starts, the disclosed lawful policy governs a student no-show or unused time caused by the student. A coach cannot add a new no-show fee afterward. If the policy is unclear, no undisclosed penalty may be imposed. A dispute over a payment or attendance can still be reported even when online cancellation is closed.

6. Coach cancellations, missed time and refunds

If the coach cancels or does not show up, the coach refunds you in full, including the deposit and other amounts paid to the coach for that session. A coach policy cannot override this rule. A student may choose an agreed replacement session, but cannot be forced to take credit or reschedule instead of the refund.

If the coach starts late, ends early or cannot deliver part of the agreed session, the coach must offer to make up that time at no extra charge by agreement or refund the undelivered portion. If no session is delivered, a full refund is due. For a service or connection failure outside either participant's control, agree on a replacement or refund undelivered service; do not charge again for the same missing delivery.

The coach must initiate an owed refund within 7 calendar days after it becomes due, or sooner if required by law or their policy, and provide confirmation. Payment-provider processing may take longer. Return it through the original payment method where available; agree with the student on another lawful method if necessary. Do not require a new fee, a favorable review or silence about the experience to receive a refund.

Siege Codex may record a refund obligation and review reports but cannot move the coach's funds or guarantee recovery. Refund duties apply to actual payments even if not confirmed in the booking record. Report an unpaid refund and use any available payment-provider or legal remedy without waiting for our review.

7. Attendance and respectful conduct

Both participants must be ready at the agreed time, use the agreed contact method and promptly explain a delay. Student lateness does not automatically extend a reserved slot. Keep reasonable contact and attendance records; do not falsely label a session completed, a person absent or a payment received.

No harassment, hate speech, discrimination, threats, sexual misconduct, doxxing, scams or pressure to share private information. Either participant may leave an unsafe session and report it. Leaving for safety does not automatically waive refund or other rights; a coach cannot use an unsupported misconduct allegation to evade an owed refund.

8. Learning, fair play and account security

Coaching is instruction, not account piloting or a sale of rank. Do not offer, request or teach cheating, hacks, prohibited macros, exploit abuse, boosting, win trading or matchmaking manipulation. Follow Ubisoft's rules and the rules of any game, tournament or communication service used for the session.

Never request or share account passwords, recovery codes, authenticator codes or account access. Coaches must not log in or play on a student's account. Do not ask a student to disable security or install suspicious software. Participants must have permission to use any footage, strategies or other material they share.

9. Privacy, recordings and materials

Use participant contact details and session information only to arrange, deliver and resolve the booking, unless they separately agree to another use. Do not sell it, use it for unsolicited marketing or disclose private messages, payment information or other personal details publicly. Coaches must protect information they receive, collect only what they need and keep it only as long as needed for the session, legitimate records or legal duties.

Before recording, streaming or using automated transcription or an AI meeting recorder, explain the purpose, who can access the result and how long it will be kept, and obtain affirmative consent from every participant. Acceptance of these terms alone is not recording consent. Stop future recording if someone withdraws consent. Public sharing, advertising or using a participant's name, voice or image requires separate permission. Follow any stricter applicable recording or privacy law.

Participants keep their rights in their own materials. Receiving a lesson or clip does not grant permission to publish or resell it; obtain permission for uses beyond the agreed learning purpose, subject to rights provided by law. These rules do not prohibit retaining lawful evidence privately or sharing it with a payment provider, support, a regulator or a court to resolve a dispute.

10. Honest reviews, reports and blocking

Reviews must describe a genuine experience honestly. On-site session reviews use the completed-session review controls; cancellations, no-shows and payment problems can be reported separately. Do not buy or fabricate reviews, trade refunds for positive reviews, conceal a relevant relationship or retaliate against someone for an honest review or report. Nothing here restricts honest opinions, including negative ones, in any forum.

Report a listing, session, payment problem, no-show or review through the coach page or My Coaching, or contact support. Include the booking reference and relevant facts without exposing unnecessary private data. Blocking prevents new bookings between the participants; it does not cancel an existing booking, settle a dispute or erase a refund owed.

11. Problems and your rights

For a delivery or payment problem, contact the coach promptly if safe and keep the booking record, messages and payment receipts. You can also contact Siege Codex support. We may review records and take action on platform access, but we are not a court, escrow service or guarantor of a coach's payment. Our review does not decide your legal rights.

You may use payment-provider disputes, regulators, courts and other remedies available to you. You do not have to finish our reporting process first or miss an external deadline while waiting. These terms add no mandatory arbitration requirement, class-action waiver or ban on honest reviews. Consumer protections that cannot be waived, including any applicable cancellation or refund rights, remain intact.

12. Coach agreement and accountability

By accepting the Coach agreement, you confirm you are 18 or older, legally able to provide the services and authorized to use your listing and payment accounts. You act for yourself, set your own offers and remain responsible for their accuracy, delivery, communications and conduct. You handle your own taxes, business requirements and payment-provider obligations.

You agree to honor the booked package, price and saved policy; maintain accurate availability and contact instructions; follow this refund baseline, including full refunds for your cancellation or no-show and the 7-calendar-day refund-initiation deadline; protect participant information and obtain recording consent; keep truthful payment and delivery records; and cooperate in good faith with reports and refund requests.

Do not use a platform disclaimer to evade your own obligations or claim that Siege Codex has approved your credentials or guaranteed your service. You remain accountable for your own breaches, unlawful conduct and unpaid refunds. Stopping coaching or losing a listing does not erase obligations from accepted bookings. Notify affected students and deliver the agreed service or provide the refund owed.

13. Platform action and responsibility

We may review, restrict, pause or remove listings, content or booking access for misleading claims, misconduct, unpaid refunds, misuse or other violations of these terms. We may act while a report is investigated and can request relevant records. Contact support if you believe an action was mistaken. We do not remove a review merely because it is negative.

We do not promise coaching quality, improvement, continuous availability or recovery of a direct payment. The Terms of Use govern our service and its limitations. Nothing in these Coaching terms excuses Whitt Atlas LLC's own fraud, willful misconduct or gross negligence, or excludes any responsibility or consumer right that cannot lawfully be excluded. Independent status does not waive the student's rights against the coach or the platform.

14. Versions and existing bookings

The published version is dated. Students and coaches must accept the current version before creating a new booking. We retain acceptance records so the version accepted can be identified. Material changes require renewed acceptance for new bookings; merely continuing to use the site is not a substitute.

New terms apply prospectively. They do not retroactively raise a booked price, worsen a saved cancellation or refund policy, or erase an existing claim. Existing bookings remain governed by their accepted terms and booking snapshot unless the participants agree to a lawful change; mandatory law still applies. If a provision cannot be enforced, the remaining provisions continue to apply to the extent permitted by law.
